Reciprocal Space is a world-leading design studio based in London. We design visuals for biotech, medtech and pharmaceutical companies to communicate their R&D, technology, products and services in an engaging and professional way. We work at the interface of creative high-end design and scientific precision. Our services span presentation design, 3D and 2D animation, illustrations, infographics, branding, web design, video/photography, VR/AR and more.

 

We are looking for a project administrator and manager with exceptional organisational skills, a positive and friendly can-do attitude. If you are excited about working on projects at the very forefront of biotech and medical innovation, with clients from all over the world, are passionate about science, new technologies mixed with high-end design; if you embrace fast-pace, exciting work environment - then you have what it takes to join our team!

 

You will support the day-to-day operations of our creative team, manage the flow of creative projects for the studio, collaborating with designers and clients, planning resources and schedules and also assisting the studio Directors with a variety of tasks.

 

This is a 100% in-person position. You will be based at our London office and work hand-in-hand within our dynamic team of designers, animators and scientists.

 

What we expect from you:

  • Education/background, experience or a strong proven literacy in science or medicine is required. Applications not satisfying this condition will not be processed

  • Practical experience as studio manager, project administrator/coordinator or similar role either in a scientific or creative industry.

  • Excellent administration, organisation, and planning skills. Ability to schedule and manage numerous projects of various scales with confidence and rigour.

  • Knowledge of project management tools (such as ClickUp, Asana etc).

  • Fluent in MS Office suite - especially Excel, incl. automations

  • Skilled and influential communicator with an excellent (spoken and written) command of English; with fantastic professional and interpersonal skills.

  • Solid organisation and time-management skills.

  • Problem solver with meticulous attention to detail, a positive approach and ability to multi-task.

  • Experience in using InDesign, Illustrator, Photoshop is a strong advantage.

  • Experience in Python or R would be an advantage

Your key responsibilities:

 

  • Client communication via email and phone - regular project updates, chasing, invoicing etc.

  • Schedule regular meetings and record decisions (e.g. assigned tasks and next steps)

  • Break projects into doable tasks and set timeframes and goals; create and update workflows

  • Order resources, like equipment and software

  • Retrieve necessary information (e.g. user/client requirements and relevant case studies)

  • Track expenses and predict future costs

  • Monitor project progress and address potential issues

  • Measure and report on projects performance

  • Act as the point of contact for all the team members at Reciprocal Space

  • Manage team workload, projects deadlines and milestones

  • Proactive, autonomous mindset, curious

  • Marketing support (design of social media posts, sales collateral, newsletters)

  • Maintaining and developing internal databases
